Job Description

Our client is one of the leading suppliers of facilities management services across the public and private sector in the UK. Due to a recent restructure (based on exponential growth) they are now looking for an experienced creative and organised Bid Co-ordinator / Writer.

Your primary objective will be supporting the sales teams achieve their key business objectives aiding in the completion and submission of; Expressions of Interest (EOIs), Pre-Qualification Questionnaires (PQQs), Requests for Information (RFIs), Tender Responses and Presentations. You will be responsible for co-ordinating the bid completion process and undertaking a quality check on all outgoing sales material.

The bid team is critical to delivering the on-going success of the company and the Bid Executive will quickly achieve a high profile in the business and with it the potential to move into either more senior bid management positions or other management roles across the rest of the company.

What are they asking for?

We are recruiting for an ambitious and creative Bid Co-ordinator who has experience of supporting the bid function and exposure to the techniques and methods of tender writing. 

You will be career minded and interested in developing this role into a Bid Writer/Manager opportunity.

Building/maintaining internal relationships will come naturally to you and you will also be confident in dealing with clients at all levels

It would be advantageous if you had experience in any of the following as the role is expected to develop into a more involved bid writing role depending on the successful candidate’s capabilities: 

• Experience of the Facilities Management or Security market
• Techniques and methods of tender writing to tailor tenders to specific client needs and expectations.
• Experience of property and personnel security industries
• Knowledge of OJEU Procurement procedures and use of eTendering and eProcurement systems
• ability to write responses for PQQ’s and tenders and research/ produce relevant information
• Familiarity with the use of on-line tendering portals 
• Awareness of Standard Form Contracts/Experience of Framework arrangements. 

Responsibilities:

• Support the Sales Team in the delivery of high quality pre-qualification and tender proposals.
• liaise with others within the business; predominantly department heads to gather information, ensuring responses are received in line with strict deadlines.
• researching and producing supporting information such as case studies, CV’s and new working policies for individual tenders.
• Creation + design of documents, to respond to Requests for Information (RFI’s), PQQ’s and Invitations to Tender (ITT’s), + the preparation of supporting information such as site specific work documents and presentations, to ensure a continuous look and image is presented to the client.
• delivery of Tenders, Pre-qualifications and Presentations, working closely senior management team
• To ensure all RFI/RFP’s responses are proof read and sense checked for accuracy.
